A quote that lands on day five has already lost, even when it is the best one

Whoever answers first does not win on price: they win because by the time the others arrive, the comparison has already been made against them.

On a configurable product a quote is not a document: it is a small project. Someone has to understand what the client wants, check the choices hold together, ask a price from whoever knows it, confirm timing with whoever produces. Four people, three emails, and the days go by.

Meanwhile the client has asked two others. The first to answer does not get the order because they are cheapest — they get it because they become the yardstick: when the others arrive, the client no longer judges them in the abstract, they compare them against something already in hand that they have already started picturing. This article is about answering in two minutes without getting the numbers wrong.

1 · Why a custom quote takes five days

It is not that people are slow. It is that a quote for a configurable product holds three pieces of information living in three different heads, and none of the three is written anywhere you can query.

The cost you do not see

It is not only the lost order. It is that the salesperson spends half the week chasing internal answers instead of talking to new clients — and that half appears nowhere, because nobody measures it. When quoting gets automated, the biggest gain is not speed: it is the time handed back to a person paid to sell.

2 · What a configurator actually is

It is not an online price list. It is the place where those three pieces of knowledge — the rules, the prices, the timings — stop living in people's heads and start living in a system anyone can query, the client included. Try it: build a combination and watch what happens to the figure and to the weeks.

You have just done in thirty seconds what takes three emails inside a company. And if you switched on the reseller portal you will have seen a constraint fire on its own: that module does not work without the PIM, so the PIM comes with it. This is exactly the kind of dependency a hand-written quote forgets — and it does not surface at offer stage, it surfaces once the project has started, when it costs ten times as much.

3 · The four things that make it trustworthy

A configurator that gets prices wrong is worse than none: it loses margin silently, and you find out at year end. These four things separate a tool from a toy.

4 · When you do NOT need one

If the combinations are few and stable, a configurator is technology placed where a document would do. The test is simple: count how many genuinely different offers you have made in the last six months. If they are essentially five variants of the same pattern, the problem is not configuration — it is that those five are written down nowhere, and that is solved in an afternoon with a shared template.

A configurator starts to pay when the possible combinations exceed what a person can hold in their head, and when the rules between options are numerous enough to be got wrong. That is the point where it stops being a speed tool and becomes a correctness tool — which is the reason it is worth its cost.

Bring your most complicated quote

In the half-hour audit we take the most tangled offer you have sent this year and take it apart: which choices it contains, which rules bind them, how many people it took to assemble and how many days it took. It is the most concrete conversation you can have on this subject, because it starts from a real document rather than a hypothesis.

By the end you know whether your combinations justify a configurator or whether you simply need to write down the rules that today live in two people's heads. In the second case I will say so and sell you nothing — but that too is an answer you do not have today.

FAQ

Why does a custom quote take five days?

Because it is not a task, it is a chain: someone gathers the data, someone checks availability, someone applies the right discount, someone approves. Each step is short; the waiting between steps is not. And by the time the quote arrives, the customer has already compared their needs against whoever answered first: the winner is not the cheapest, it is the one who became the yardstick.

What is a quote configurator?

Not a contact form with more fields: it is your commercial rule written once and made executable. The customer assembles what they need, the system rules out impossible combinations, applies the price list and their contract terms, and produces a number the company is prepared to stand behind. That is the whole difference: a quote that can be confirmed, not an estimate to be redone by hand.

Does an online configurator show your prices to competitors?

It shows what you decide. It can calculate without exposing the price list, show a range instead of an exact figure, or require identification before revealing contract terms — which is how your B2B pricing already works. The real question is different: competitors know your prices anyway, customers do not, and it is the customers who decide.

When is a quote configurator NOT worth building?

When variants are few and stable; when every job starts from a site visit and is genuinely different from the last; and when the bottleneck is not quoting but production. In those cases a configurator moves the problem without solving it and adds one more thing to maintain. Measure first where the days are actually lost.
